This notice explains how United Equine Products Ltd (company number 15163559, registered office: Marston Grange, Marston, Pembridge, Herefordshire, England, HR6 9JA) collects and uses personal information when you visit our Shopify store, contact us, sign up for updates, submit a review, place an order or use a subscription feature. We are the controller for the customer information we use for our own business purposes. Shopify also processes information to provide its platform and services, as described in Shopify’s privacy notice.
Information we collect
· Contact and delivery details: name, email address, telephone number, billing and delivery address, and details you provide in a contact form or message.
· Orders and payments: products ordered, order history, delivery instructions, returns and refunds, payment status and transaction references. Payment card details are handled by Shopify and/or the payment provider you choose; we do not receive your full card number or security code.
· Accounts and subscriptions: account credentials and preferences, subscription choices, delivery frequency, renewal and cancellation records, and the information needed to fulfil recurring orders.
· Marketing choices and reviews: newsletter preferences, consent or opt-out records, and information you choose to include in a review.
· Technical and usage information: IP address, browser and device identifiers, pages and products viewed, referral information, and cookie or similar technology data, subject to your choices and applicable law.
How information is collected
We collect information directly from you (including through checkout, customer accounts, newsletter sign-up, contact and review forms), automatically when you use the store, and from service providers that support orders, payment, delivery, customer service, reviews, subscriptions, analytics or marketing.
Why we use information and our lawful bases
· To answer enquiries and take steps you request before an order, and to fulfil orders, process payment, delivery, returns and subscriptions:contract or steps before contract.
· To maintain financial, tax and order records, respond to lawful requests, and meet other legal duties:legal obligation.
· To secure the store, prevent fraud, maintain records of customer service and improve our products and store:legitimate interests, balanced against your rights.

· To use non-essential analytics, advertising or similar cookies:your consent where required by law. Essential cookies are used to provide requested functions such as a working cart, checkout and security.
· To publish or request reviews and display customer feedback: the basis described at the point of collection, usually your consent or our legitimate interests in presenting genuine customer feedback.
Who receives information
We share only information needed for the purposes above with:
· Shopify, which hosts the store and supports checkout, customer accounts, order administration, subscriptions and related services. See Shopify’s privacy information.
· Payment providers selected at checkout, to authorise and process payments, refunds and fraud checks.
· Delivery and fulfilment providers, to deliver orders and handle returns.
· Email, messaging, analytics and advertising providers, according to your marketing and cookie choices.
· Store apps and service providers used for store functions, which currently include Shopify Subscriptions, Shopify Messaging, Trustpilot, Matrixify, Bundler, Hoppy Bundles, Variant Pricing & Qty Breaks (Rootways), and One Stop Volume Discounts, when their features are enabled or otherwise used. These providers may receive information needed to provide the relevant function. Their privacy notices include Trustpilot, Matrixify, Bundler, Hoppy Bundles, Rootways, One Stop Volume Discounts, and Shopify.
· Professional advisers, regulators, law enforcement or other parties where disclosure is required by law, necessary to establish or defend legal claims, or part of a business transfer.
We may use AI-assisted tools, including ChatGPT by OpenAI, to help draft website content or support store administration. If personal information is provided to an AI tool for an authorised business task, the relevant provider may process it under its own privacy terms and applicable safeguards. We do not make decisions about you based solely on automated processing that produce legal or similarly significant effects.
International transfers
Shopify and some service providers may process information outside the United Kingdom. Where required, transfers are protected by an adequacy regulation or appropriate safeguards such as the UK International Data Transfer Agreement or UK Addendum to standard contractual clauses. How long we keep information
We keep information only for as long as reasonably necessary for the purpose collected, including to meet legal, accounting, tax and reporting duties, resolve disputes and enforce agreements. Order and accounting records are generally retained for up to six years after the relevant financial year, or longer where required for a legal claim. Enquiry records are normally kept for up to 24 months after the enquiry is closed unless needed for a dispute. Marketing data is kept until you withdraw consent or opt out, and may be removed after 24 months without meaningful engagement. Subscription records are kept while the subscription is active and afterwards for the applicable legal and accounting retention period. Cookie lifetimes are set by Shopify and the relevant providers.
Your rights
Depending on the circumstances, UK data protection law gives you rights to request access to, correction or deletion of your information; restrict or object to certain processing; receive certain information in a portable format; and withdraw consent where processing is based on consent. You can opt out of direct marketing at any time. These rights are subject to legal conditions and exceptions, including our need to keep some order and tax records. We and our providers use cookies and similar technologies for essential store functions and, where enabled, analytics, personalisation and advertising. Children
Our store is intended for adults buying horse-care products. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us and we will review the request.
